Knowing which referrers actually send you work

Most principals answer that question quickly, and partly wrong. The referrers who felt most present last month are rarely the ones who sent the most matters last year. A conversation at a function counts for more in memory than four quiet conveyances ever did. One field on the matter, filled in at opening, settles the question for as long as the firm keeps records. Very little else the firm does costs so little and answers so much.

A link beats a typed name

A source typed as text becomes six spellings of one accountant, and no report can add those together. Diract CRM holds the referral source as a link to the referrer's own contact record. That link survives a spelling mistake, a name change and a move to another practice. A referrer who leaves one firm for another keeps their history, which is the whole argument for recording a person rather than a phrase. The field takes four seconds at file opening, and no reconstruction later can replace it.

Count matters, then count value

A referrer sending twelve small conveyances and one sending two commercial disputes look very different on each measure. Both numbers belong in the report, because the answer depends on which work the firm wants next. A firm chasing volume reads the first column. A firm building a commercial practice reads the second. Diract CRM groups matters and value by source in the same report, so neither column has to be rebuilt by hand.

The one who stopped

A referrer who sent four matters a year for three years, and none this year, has either retired or found somebody else. Nothing in a monthly new matter count surfaces that. The absence of a referral makes no noise, which is why it survives for years. A yearly report with last year beside it puts the gap on the page. A call in the first quiet month usually recovers the relationship, and a call two years later rarely does.

Reciprocity is a record, not a feeling

A firm that receives work from an accountant and sends none back is in a relationship with a shelf life. Recording referrals out, as well as in, turns a vague sense of fairness into something checkable. The two columns beside each other also end an argument nobody wins from memory. Diract CRM records a referral in either direction against the contact, so the yearly read covers both.

Client referrals are their own category

A matter referred by an existing client is a different signal from one sent by a professional. A firm with many client referrals has a service story worth telling. One with none has a satisfaction question nobody has asked. Counting the two together hides both facts inside one number. An introduction that never became a matter still says who is willing to recommend the firm. A firm counting only converted referrals thanks a shorter list than it should.

Thanks that name the matters

A general note of appreciation reads as a mailout. A reference to the actual matters they sent reads as attention, because attention is exactly what it is. The record makes that possible without anybody straining to remember which files came from which accountant. Diract CRM lists the matters beside the referrer, so the letter writes itself in two minutes.

Directories and panels deserve honest measurement

A firm spending on a directory should be able to name the matters it produced, and usually cannot. The same field answers that, which turns a renewal into arithmetic rather than a negotiation about impressions. Our guide to the four numbers a business reads covers keeping that beside the daily figures. Institutions need one extra step. Work arrives from a bank's panel, an insurer's scheme and a franchise's head office, and each behaves like an organisation rather than a person. Diract CRM records the organisation and the contact inside it separately, so a firm sees both the volume and the relationship.

The referrer is a client too

The accountant who sends work has their own company, their own family and eventually their own estate planning. A firm treating them only as a channel misses the obvious matter sitting in front of it. The contact record is where that becomes visible, because one screen shows what they sent and what the firm has never acted on for them.

Read it once a year, properly

A referral report read monthly produces noise, because the volumes in a small firm are small. Three matters in April and one in May says nothing about either month. A year of matters grouped by source, with last year beside it, produces about four decisions and no ambiguity. Diract CRM builds that report from the field on each matter, so the yearly read costs an hour and no data entry.

What to change first

  • Referral source records on every matter at opening
  • The source links to a contact rather than sitting as text
  • The report counts matters and value separately
  • A referrer who has gone quiet surfaces on the yearly read
  • Referrals sent out get recorded alongside those received
  • Client referrals count as their own category
  • Thanks name the actual matters, not the relationship
