Scan and print from Diract
Scan paper straight into a record, supplier invoices or a disbursement import, and print quotes, invoices and payslips on your office printer. A small app on a computer next to your devices, the Diract helper, does the scanning and printing for Diract.
A web page cannot reach a printer or a scanner on your network, so Diract needs one computer in the office to do it. That computer runs the Diract helper. While that computer is on, everybody in your workspace can scan and print from Diract, from any computer.
Every scan also lands in the Scans folder. A scan nobody chose a place for waits there until somebody files it.

Install the Diract helper and pair it
An admin opens Settings, then Printers and scanners, and clicks Pair a computer. Diract shows an eight character code, such as K7QM-4XRT. It works once, for ten minutes.
On the Mac next to your printers and scanners, open the Diract helper and type the code. Once pairing finishes, the helper shows the name of your workspace, and Printers and scanners shows the computer as Online.
Leave that computer switched on and awake during the day. When it is off, the computer shows as offline and Scan and Print say so.
Add your printers and scanners
Under the paired computer, Diract lists the printers and scanners the helper found on its network. Click Add printer or Add scanner beside each one you want to use.
Each device then shows its state, read from the device itself: Ready, Out of paper, Paper jam, or the ink that is running low.
Click Settings on a device to rename it, such as "Front desk scanner". For a scanner, choose the settings a scan starts on: Paper from (the document feeder or the scanner glass), Sides, Colour and Resolution. For a printer, choose its Copies, Sides and Colour. Click Save.
Scan into Diract
Scan sits beside Upload on a record’s Documents tab, on the Supplier invoices page, and in the disbursement Import invoice window. Click it, choose the scanner and its settings, and click Start scan.
Put the pages in the document feeder face down first. A bar shows the scan as it runs, page by page, and as it arrives in Diract.
The scan goes in exactly as an uploaded file would. On a Documents tab, Diract adds it to that record’s documents. On Supplier invoices, Diract reads and files it like a photographed invoice. In a disbursement import, Diract reads its lines, and you check them before Diract adds anything.
Already scanned it? under the settings lists your latest scans in the Scans folder. Click Add here to add one to this place instead of scanning again.
Scan from the scanner itself, and the Scans folder
A scanner’s own button sends the scan to its maker’s software on the Mac, never straight to Diract. Set that software to save each scan into the Diract Scans folder in your home folder on the computer running the helper. The helper sends whatever lands there to Diract, then moves it to Sent to Diract.
In Printers and scanners, click Add folder beside Diract Scans folder on your computer. A scan saved there goes to the Scans folder. To send these scans straight into supplier invoices, open the folder’s Settings and choose Supplier invoices, read and filed straight away.
Open Tools, then Scans, to see the folder. Search by name, person or scanner, choose Not filed yet, Filed or Removed, and choose this week, this month or all time.
Click File to on a scan to send it to supplier invoices or to any record’s documents. For a record, choose the table, then search for the record. The scan stays in the folder, marked with its destination.
Everybody sees the scans they made. Admins see every scan, and an admin can give See every scan to somebody who files the post, in Admin, Permissions.
Print a quote, an invoice or a payslip
Print sits beside Download PDF on a quote, an invoice and a payslip. One click prints on your own printer with its saved settings, and the button then names that printer.
The arrow beside Print lets you choose another printer, the number of copies, both sides and colour for this print. This computer’s print window opens your own computer’s print window instead.
Without a printer added in Diract, Print opens your computer’s print window with the document ready, and you choose the printer there.
Choose your own printer and scanner
Under Yours in Printers and scanners, choose Your printer and Your scanner, then click Save. Each person chooses their own.
Print uses your printer in one click. With no printer chosen, it uses the only printer in your workspace, or asks which one when there are several. Scan starts on your scanner.
