Invite a new member with their role
Click Admin in the sidebar, then Members, then Invite member.
Type their name, email and phone if you want them on the roster before they sign in. Pick their role, their location if you have more than one, and a team, then click Generate.
Click Copy link and send it to them, or click Email on their row under Pending. The link works once and expires in 7 days.
With an email typed, they are listed under Pending straight away and can be assigned work before they accept.
Add a team member from an Assigned to picker
In any picker that assigns a person, choose + Add team member at the top of the list. It is there on a recurring job, a visit, equipment, a task, a checklist template and any field that picks a person, on the web and the phone app. Under Invite, Add now, invite later adds them without emailing anybody; their invite waits on their row under Admin, then Members. Their email is still needed, because their account is made from it.
Type their full name and email, and their phone if you have it. Pick their role, their location if you have more than one, and a team, then click Add and send invite.
They are selected straight away and show as Pending, for example "Jane Smith (Pending)", until they accept. The invite goes to their email.
They get no notifications about the work you assign them until they accept. The invite is the only email they get from you.
When they accept, everything already assigned to them stays theirs.
Send an invite again, and see every invite sent
Click Admin in the sidebar, then Members, and click the name of somebody under Pending to open their staff profile.
Under Invite to join, click Resend by email or Resend by text. A button is greyed out when their profile has no email address or no mobile number; hover over it to see which.
It sends the invite they already have, or a new one if theirs has expired, and says where it went.
Every invite sent to them is listed under Change history at the foot of their profile: who sent it, when, and the email address or number it went to. A text shows the words it said.
On the phone app, open Admin, then Members, and tap the paper plane on their row under Pending, then choose Resend by email or Resend by text. The paper plane shows once they have an invite link: tap Invite first if they have none.
Add somebody who works in an associated company
Choose + Add from another company at the bottom of any picker that assigns a person. It is only there when your company is in a group and there is somebody in it who does not work here yet.
Search their name and click them. They are listed under the company they work in.
Pick the location they work at here, a team and the role they join as, then click Add and send invite. You are not asked for their name or email: both come from their own company.
They keep their place in that company. This adds them to yours as well, so a job, a visit, an item of equipment or a task you give them here reaches them.
Find somebody in a list of several venues
With more than one location, every picker that assigns a person groups its names under the location each person works at.
On the Staff field of a time entry or a disbursement, the list is headed with a row of locations instead. Click one to narrow the list to it, and All locations to go back.
Somebody nobody has placed at a location yet is listed under No location, so they can still be picked. Set it on their profile, or on their row in Admin > Members.
What the person you invited does
They open the invite. For somebody new to Diract it says their account is ready for their email.
They tick the terms, click Email me the link, and open the email it sends.
The link joins them to your company and asks them to choose a password. From then on they sign in with that email and password.
Somebody who already has a Diract account signs in with it instead, and joins as they do.
Set a member's role
Click Admin in the sidebar. Click Members.
Click the role badge on a member. Pick Company admin or Operator. Tick a custom role under it to add its capabilities.

See who can do what, and check one person
Click Admin in the sidebar, then Permissions. Access: who can do what at the top lists every rule, grouped under Jobs, Tasks, Time, Roster, Calendar and Money.
Each rule lists who holds it now: Admins, then each role, team, team leader and person. Everyone else says what everybody without it gets, such as Sees the jobs assigned to them.
Click Change under Permissions or Change under Team permissions on a rule to jump to the section that changes it.
Under Check one person's access, pick somebody. Beyond their own work lists what they can do, and names the role, the team or the grant behind each item. Everything else lists what they get instead.
Give one permission to a team, a team leader or a person
Click Admin in the sidebar, then Permissions. Under Permissions, each permission has a row of its own, such as Void an invoice with a payment on it.
Each row shows Admins always, which cannot be removed: an admin can do everything here.
Click Add a team, a team leader or a person on that row and type a few letters. Teams, team leaders and people are listed under their own headings.
Pick a team to give it to everybody on it, including anybody added to that team later. Pick a team leader to give it to that one person and nobody else on the team. Pick a person to give it to them alone.
Click the cross on a chip to take it away again. It applies straight away, next time that person loads the app.
Create a custom role
Click Roles at the top of the Members tab.
Type a name under New role name and click Add role. Click the role to open it and tick the capabilities it grants.
Each tick saves at once.
Custom roles
Give specific members extra capabilities without making them full admins, e.g. a "Supervisor" who can edit or publish the roster. Assign a role to a member from Admin > Members.
Restrict a table or dashboard
Click Admin, then Permissions.
Under Default access for new tables & dashboards, choose who sees new ones. Under Table & dashboard access, pick a table or dashboard and tick the teams, members or custom roles that can open it.
Restrict a field or a record
Under Restricted fields, pick a field and tick who can see its value. Everyone else sees the field blank.
Under Project access, search a project and tick who can open it.
Click Role Preview to sign in as a role and check what it can see.
