Run companies as a group

Create a company that is managed alongside yours, see everyone across the group, appoint a group admin, and roster by location.

On this page

Create the associated company

Click your avatar at the bottom of the sidebar and click Create associated company. Or click Admin, then Company Links, and click Add an associated company under Associated companies.

Pick what the company is for. Type the Company name. Click Country, start typing the country's name and pick it from the list. Click Create company.

Click Stay in your current company, or Go to the new one.

Create associated company

This company will be associated with Demo Legal Pty Ltd. Its admins will be able to administer this company too, and you will be an admin of it.

What are you setting up this company for? This just tailors what gets created, and you can always change how things work later.

Switch between them

Click your avatar. Both companies are listed under Switch company with the role you hold in each. The active one has a dot.

Click a company to work in it. The app reloads into that company's data.

See everyone across the group

Click Admin, then Members. Click Whole group.

Every person in every company is listed with a chip per company. A dashed chip marked via group means they administer that company through the group rather than as a member.

Click All companies to tick the companies or venues you want to see. Type in Search people to narrow the list.

Click All locations on the normal view to filter your own company's members by location.

Change a person's details in another company

On Whole group, click the person. Their card shows their contact details and each company they belong to, with their role there.

Click Open full profile to edit their staff profile. Their role and custom role in a company are changed on that company's own Members tab, so switch to it first.

You can also open somebody's profile straight from another company's roster in Calendar, headed with the company the record belongs to. You need to be an admin of that company to open it at all.

Their contact details, job title and your company's own staff fields can be changed from there. Their login details, photo and active status stay with their own company, so those are edited from it.

Every change is recorded under Change history on the profile: who made it, what the field was, and what it became. It covers staff records that have no login yet as well.

Give somebody a role across the group

Click Admin, then Members, then Roles. The Group roles card is under this company's own roles.

Type a name such as Group Manager and click Add role. Click the role to open it, then tick what it can do. The list is the same one a company role offers, and what you tick applies in every company in the group.

Under Who holds it, click + Add and click the person. They become staff of every company in the group, and their role in each one is that group role, not a company role of the same name.

Click the cross on a chip to take the role back, or the bin to delete the role. Either one removes the access it gave and leaves any membership the person already had of their own alone.

Take a company out of the group

Click Admin, then Company Links. Under Associated companies, click Unlink beside the company, or Leave group if you are in the company that is leaving.

If everyone who administers that company does so through the group, you are asked Who will administer it and shown the people who could. Click one. They become its own admin and the unlink goes ahead.

A company that already has an admin of its own is never asked.

Seats and billing across the group

Click Admin, then Billing. Seats are one pool shared across the group, so the licensed count on each company's Seat assignment shows the group total after it.

Each seat shows the person's location after their email. Turn Licensed on or off per person.

Somebody whose seat is off can still open and read everything. A banner across the top of their app says they do not hold a seat, the create and edit forms say the same thing next to the button, and the button is greyed out until you turn the seat back on.

Roster by location

Click Calendar. Click the location button at the top. Each company is a heading, with Everyone and then each venue under it. The company you are signed in to is marked Open.

Click a venue or another company. The roster loads in place without switching your company, and every shift you add, publish or confirm applies to the location on screen.

The roster lists that company's own staff. To schedule somebody from another company in your group, click Add from another company, search, and click them. They appear on this roster for the weeks they have a shift, with the name of the company they work for under their own name.

A shift's Venue is set on the shift itself, and starts at the venue on screen or the person's own. Change it to move one shift to another venue without moving the person. It is required once a company has venues, so a shift is always at a place.

Adding somebody from another company also asks for the Date, since no day was clicked to get there.
