Connect Gmail or Outlook
Connect your mailbox, file an email to a matter, and let the matter's label appear in every connected inbox.

Connect Gmail
Click Tools in the sidebar, then Gmail. Click Connect with Google.
On Google's screen, tick every permission and click Allow. You come back to the Gmail tool with your inbox loaded.

We only request access to read, label, and send emails.
Before any account is connected
Connect Outlook
Click Tools, then Outlook. Click Connect with Microsoft. Click Accept on Microsoft's screen.

Connect your Outlook account to view emails, assign them to projects, and sync project folders across your team.
We only request access to read, categorise, and send emails.
Before any account is connected
Set the label format
In the Gmail tool, click Label settings. Type the parent label name and the code. Set the Archive and Leads label names.
Click Save. Only new labels use the new format. Existing labels keep theirs.

Pick the source of truth accounts
Click Admin, then Email. Turn on the mailboxes whose labels the app should copy to everyone else.
Under Teammate copies, choose whether a filed email is copied to every teammate's inbox.

File an email to a matter
Open an email in the Gmail or Outlook tool. Search the matter and click it.
The matter's label is created and added to the email. It appears in every connected teammate's mailbox straight away.

In Gmail, the matter is a child label under the parent label, named with the matter number, name and a five character code.
In Outlook, the matter is a subfolder under the parent folder plus a category of the same name.
In Outlook, a filed email you have not opened yet stays in your Inbox with the matter's category on it. It moves into the matter's subfolder once you open it. The same goes for a teammate's copy, which stays in their Inbox until they open it.
In Outlook, a teammate the email was not sent to gets their own copy in their Inbox, unread, with the matter's category on it. It comes from the original sender, with the original date. This needs Copy filed emails to every teammate's inbox turned on under Admin, then Email, which it is unless somebody turned it off.
