Recording everybody involved in a matter
A matter rarely involves one person. A conveyance has a client, an agent, the other side's solicitor, a bank and often a broker. Most files record the client and leave everybody else inside an email signature. That costs the firm twice, and both bills arrive later.
The two costs of an incomplete party list
The first cost is a handover. Somebody covering the file cannot see who to ring, so they read a month of correspondence to rebuild what the file should have said. An hour of that happens every time a lawyer takes leave. The second cost is a conflicts search three years later, which never finds the name nobody recorded. The first cost is annoying and visible. The second stays invisible until the day it matters enormously.
A party is a contact with a role
The name on its own does not carry enough. Agent, other side, expert, guarantor, executor: the role is what makes the entry usable by somebody who was not there. Record them as they appear
The agent arrives in the first week, the bank in the third, the expert in the second month. Nobody can record them all at opening, and a policy demanding it gets ignored. Adding each one as they appear takes seconds inside a task somebody is already doing. Leaving it for a tidy-up means it never happens, because a tidy-up has no deadline and no customer waiting.
The other side matters most
A firm's own clients are easy to remember. The party on the other side of a matter from 2022 is not. That name is precisely what a future conflicts check needs, and it is the one most often missing. Their solicitor deserves a separate record again. The other side is a party to this dispute, and their solicitor is a professional the firm will meet on unrelated matters for years. Keeping the two apart lets a firm find every matter against a particular practice, which is worth knowing before the next one starts.
An expert is a reusable relationship
A quantity surveyor or a valuer who did well on one matter is the first call on the next. A record holding their field, their rates and the matters they have acted on turns that into a resource. A party can change mid matter
The other side changes solicitors, the agent leaves the agency, and the bank's officer moves branch. Superseding the old link rather than editing it keeps the history of who the firm actually dealt with in March. That history answers a costs argument and a complaint, both of which arrive long after anybody remembers the change.
