Keep your documents in your own SharePoint or Google Drive

Most business software keeps your documents inside itself. That is fine until the day you want them somewhere else, and then it is the whole problem: the files are in a system rather than in a drive, and getting them out is a project.

Diract stores documents in one of three places, and you choose which.

The three stores

• Diract storage. Always available. Nothing to set up.
• Your Google Drive. Appears once you connect it.
• Your SharePoint or OneDrive. Appears once you connect it.

Connect one of your own and the documents live in a drive your business already owns, already backs up, and already controls the access to. Your IT policy applies to them because they are in your drive.

Choosing which one is used

Click Admin, then Storage. The line under Document storage names the store your next document will be saved to, for example New documents are being saved to Diract storage.

All three are listed whether or not they are connected, so you can see the choice before setting anything up. Click the one you want and it saves straight away.

No preference uses the default order: Diract storage first, then your own drive if Diract storage cannot be reached. Picking your own drive is how you turn that around.

The status is real

Each store carries its own status. Reachable means Diract can save there right now. Not set up means there is no connection, or the connection has stopped working.

That status is checked live every time the screen is opened. So a store can read Not set up even though somebody connected it months ago, which is the answer you want: it tells you whether the connection still works, not whether it once existed.

The connections themselves sit further down the same screen and each names the account it points at. Connected, Not connected, Finish setup when Microsoft has approved Diract but no site has been chosen yet, and Not working when the account can no longer be reached.

What happens when a store is unreachable

A drive can be unreachable for reasons that have nothing to do with you. A token expires, an administrator changes a permission, a site is moved.

Diract does not fail the upload over it. It falls through to the next store in the order and tells you which one it used, so the document is saved either way and you know where it went.

Why this is the part worth checking before you buy anything

Software that holds your documents decides how hard it is to leave. That is true of us as much as anyone, which is why the choice is in the product rather than in a support ticket.

• The files are in a drive you already own. Your access controls and your retention policy apply to them, because they are your drive's files.
• Your existing backup already covers them. Nothing new to arrange.
• Leaving does not mean extracting. The documents are where they were the whole time.
